Managing Payments in Payroll

Sending a payroll payment

Sending a payroll payment follows the same general workflow as any other Bill Pay payment. Employers enter an amount and a Send On date next to an employee, then click Pay Bills to review and submit. Multiple employees can be paid in the same batch, and payments can be rushed for an additional fee, the same as with bill payments and ACH payments.

  1. Select the employee to schedule a payroll payment for.
  2. Enter the payment amount and choose a Send On date.
  3. Optionally add a note in the Notes field.
  4. Select which account to draw funds from.

Note: Payroll payments are only processed from connected accounts. Pay by Card is not available for Payroll payments.

As payroll payment details are entered, a summary box appears in the upper right corner of the screen, above Scheduled Payments. This box displays all payments being scheduled, whether a single payment or multiple payments across different employees, along with the total dollar amount.

Once the employer finishes entering all payroll payments to schedule, they click Pay Bills. A summary view opens where they can:

  • Review all pending payments
  • Edit or cancel payments
  • Confirm and submit

Recurring payroll payments

Payroll payments can be scheduled to recur automatically, the same way recurring ACH and bill payments work. Employers set a payment amount, frequency, and an end condition (until canceled, until a specific date, or until a set number of payments has been made). Once saved, recurring payroll payments display a recurring indicator and can be reviewed, edited, or canceled at any time before processing.

Reminder: Like ACH payments, recurring payroll payments follow the same lifecycle as other Bill Pay activity and are marked as scheduled until they process.

Payroll payment history

The Payroll page shows Scheduled Payments and Recent Payments widgets, the same as the Bill Pay and ACH pages. Customers can access extended history through the View Payments page, which provides a consolidated view of activity across all enabled Autobooks modules, including Bill Pay, ACH Payments, Payroll, Account to Account transfers, and Person to Person payments.
